How to improve your time management?

Leaders: It’s time to focus on the right thing before you get bogged down by the mundane! How? 
 
What is one of the biggest struggles I see when coaching? Leaders feel overwhelmed, constantly busy—but not making the impact they want. 
 
We all have the same 24 hours. Self-awareness around this topic is key, followed by building the right habits, and a plan to move forward. 
 
The difference? How we use those 24 hours.  
 
Here are 5 simple (not new), but powerful productivity frameworks I recommend to leaders so they can focus on what truly matters: 
 
1. Eisenhower Matrix – Prioritize with impact. 
Stop wasting time on urgent but unimportant work. Categorize tasks into: 
Do Now (urgent & important) 
Schedule (important, not urgent) 
Delegate (urgent, not important) 
Delete (neither) 
 
I want to add here, that being able to delegate requires both self-confidence on the part of the leader, and investment in developing people to delegate to. Often, it’s both! 
 
Make sure important/not urgent includes things like time for self-reflection, 1-1 discussions, mentoring, networking, and thinking about the big picture/understanding where possible disruption might come from. This will help you recharge and set you up for the future (before things become urgent).  
 
Use AI effectively to reduce time spent on urgent/important! Meeting notes, making presentations, and so on. 
 
2. 80/20 Rule – Focus on high-impact tasks. 
80% of your results come from 20% of your efforts. Identify and double down on: 
The 20% of tasks that drive real impact 
The 20% of clients that bring 80% of revenue 
The 20% of relationships that create the most value 
 
3. 1-3-5 Method – Set realistic daily goals. 
Overcommitting leads to underperformance. Instead, aim for: 
1 big task (perhaps it’s one of the not urgent-important things I mentioned?) 
3 medium tasks 
5 small tasks  
 
4. Pomodoro Technique – Work in focused sprints. 
Set a timer for 25 minutes, work with full focus, then take a 5-minute break. Repeat. Small bursts = big progress. 
In 2025, the leaders who master their time will outpace those who just stay busy in the hamster wheel 
 
5. Deep Work – Protect your focus. 
Multitasking kills productivity. Block 1-3 hours, eliminate distractions (phones off!), and focus on a single task.
